Africa Comfortable Tours Terms and Conditions

Welcome to Africa Comfortable Tours! These Terms and Conditions outline the rules and guidelines for using our services. By booking a tour with us, you agree to comply with these terms. Our aim is to ensure you have an enjoyable and comfortable experience while exploring the beautiful destinations across Africa. Please read the terms carefully to understand your rights, responsibilities, and the policies that govern our services.

TERMS AND CONDITIONS

AFRICA COMFORTABLE TOURS is a locally owned company, duly registered and operating in compliance with all legal requirements under the Business Activities Registration Act No. 14 of 2007 of the United Republic of Tanzania.

DEPOSITS & PAYMENTS

  • To confirm a booking, an advance payment is required at least 40 days before the scheduled departure date.
  • The final payment can be made via bank transfer, online payment, or in cash upon arrival (USD, EURO, or GBP).
  • Deposits and final payments can be made via bank transfer, online payment using MasterCard, Visa, or mobile payment platforms such as M-PESA and MTN.
  • Please note that US dollar bills printed before 2001 are not accepted in Tanzania.
  • Additionally, lower denomination notes ($1, $5, $10, and $20) are exchanged at a lower rate compared to higher denomination bills ($50 and $100) printed before 2006.
  • As a company that adheres to Tanzanian regulations and the directives of the Bank of Tanzania (BOT), if a client makes payments using these older banknotes, the exchange rate will follow the official bank rate, and the client will be required to cover any difference.
  • Note: To avoid inconvenience, we kindly advise our clients to bring US dollar banknotes that are widely accepted by Tanzanian banks.
  • All bank charges, including transfer fees, are the responsibility of the client.
  • Online payments made using a credit card will incur an additional processing fee of 3.5% on the total amount paid.

BOOKING CONFIRMATION

  • All bookings and agreements are deemed to have been made in Moshi, Tanzania, and will be governed by the laws of the United Republic of Tanzania.
  • The company reserves the right to decline any booking without providing a reason.
  • All travelers will receive pre-trip information, a detailed itinerary, and any necessary travel advice via email or direct communication with our office.
  • In the event that the booked accommodation is unavailable, an alternative of the same or higher standard will be arranged.

BOOKING AMENDMENTS

  • Any modifications to existing bookings made by the client or agent (such as changes to departure dates, flight tickets, accommodation, or the number of participants) will incur a handling fee of USD 50 per booking, in addition to service provider fees.

CANCELLATION POLICY

  • If a client cancels their trip one month or less before departure, or fails to show up, 100% of the total cost is non-refundable. However, the amount paid may be carried forward to a future trip in cases of force majeure, such as natural disasters (hurricanes, earthquakes), serious illness, or political unrest.
  • If a client is unable to travel at all, the full deposit will be refunded, but the client must bear the bank transfer charges.
  • Clients who are unable to travel may also transfer their booking to another person, such as a friend or relative, provided the original pricing and travel dates remain unchanged.
  • No refunds will be issued for unused portions of the trip, early departures, or itinerary changes after payment.
  • If a client cancels within:
    • One week after making full payment: 75% refund of the total amount paid.
    • Between 4 weeks and 2 months before the trip: 50% refund of the total amount paid.
    • A deposit of 30% is non-refundable as it covers accommodation costs.
  • However, clients can postpone their trip for up to one year, and the amount paid will be retained for future travel with AFRICA COMFORTABLE TOURS within Tanzania.
  • All refunds will be subject to bank transfer charges.
  • No refunds will be provided once the trip has been completed.

CHANGES TO TOUR ITINERARIES

  • The company reserves the right to:
  • Adjust the route or accommodation if necessary for the benefit of the client.
  • Contract another service provider for part or all of the tour.
  • Replace a malfunctioning vehicle and compensate for lost time by extending the trip or adding extra days.
  • Substitute accommodations with alternatives of an equivalent standard if required.
  • Modify itineraries due to unforeseen circumstances such as war, extreme weather conditions, political unrest, or mechanical breakdowns.

TRAVEL DOCUMENTS

  • It is the client’s responsibility to ensure that all necessary travel documents, including passports, visas, health certificates, and vaccination records, are valid and in order before departure.
  • The company will not be liable for any issues arising from incomplete or incorrect travel documentation.
  • While the company is not responsible for any financial or personal losses, it will assist where possible in the following situations:
    • Loss or damage of personal belongings.
    • Illness, injury, infection, or death of a client.
    • Changes to the itinerary due to road or weather conditions.
    • Any expenses incurred due to travel delays (flights, trains, ferries, etc.).
    • Unforeseen events such as war or natural disasters.
  • As our tours involve adventure activities, we strongly recommend that clients purchase travel insurance to protect themselves from financial and personal losses.

COMPLAINTS

  • To ensure a smooth and enjoyable experience, AFRICA COMFORTABLE TOURS encourages clients to communicate any concerns or complaints as early as possible so they can be addressed appropriately.
  • Please note:
  • Tents and other equipment may occasionally be affected by extreme weather conditions or unforeseen accidents.
  • There may be delays in the arrival of luggage, food supplies, or camping equipment due to weather-related issues.
  • The pace of the trip may be affected by factors such as fatigue, illness, or weather conditions, which may lead to adjustments in meal and rest times.
  • Vehicles may experience mechanical issues due to rough terrain or environmental conditions. While we will make every effort to replace a vehicle, no refunds will be issued in such cases.

RULES TO FOLLOW DURING TOURS

  • The decisions of the tour guide/driver must be followed at all times. If a tour guide is found guilty of misconduct or violating laws while on duty, the company will take responsibility and assign another guide.
  • Both the client and the tour guide must adhere to the laws, customs, and regulations of the host country.
  • If a client or tour guide engages in any unlawful activity, they will be required to leave the tour immediately, and no refunds will be issued.

PRICE CHANGES

  • All our prices are based on current national park fees and government taxes.
  • If the government increases taxes or park fees, AFRICA COMFORTABLE TOURS reserves the right to adjust prices accordingly. Clients will be notified of any price changes before their departure.

AGREEMENT TO TERMS AND CONDITIONS

  • By making any payment, you confirm that you have read, understood, and agreed to these terms and conditions.
